Cloudbeds Integration
HiLucy has a deep, native integration with Cloudbeds — one of the leading Property Management Systems for hotels and vacation rentals.
HiLucy only reads from Cloudbeds. Reservations, guest details and room assignments flow one way, from Cloudbeds into HiLucy. Nothing you do in HiLucy creates, changes or cancels anything in Cloudbeds, so Cloudbeds stays your source of truth: make booking changes there, and they reach HiLucy on the next sync.
What Gets Synced
| Data | Direction | Frequency |
|---|---|---|
| Reservations | Cloudbeds → HiLucy | Every 15 minutes, incremental |
| Guest details | Cloudbeds → HiLucy | With each reservation sync |
| Room/unit assignments | Cloudbeds → HiLucy | With each reservation sync |
| Check-in/out status | Cloudbeds → HiLucy | Real-time via webhook |
Setup Steps
1. Open the Cloudbeds page
In your HiLucy admin dashboard, go to Settings → Integrations and click Manage next to Cloudbeds (or go straight to /admin/settings/cloudbeds). Select the property in the sidebar to see its Cloudbeds settings.
There is no "Connect Cloudbeds" button. You connect by entering credentials.
2. Enter Your Credentials
In the Webhook & credentials card:
- API key — Click edit, paste your Cloudbeds API key, and save
- Property ID — Click edit, enter the Cloudbeds property ID for this HiLucy property, and save
- Webhook URL — Copy the URL shown and paste it into Cloudbeds so it can send HiLucy live updates
Each HiLucy property is linked to one Cloudbeds property ID.
3. Test and Sync
Use the buttons in the Connection card:
- Test connection — Checks that HiLucy can reach Cloudbeds with these credentials
- Force sync — Pulls reservations now instead of waiting for the next scheduled sync
- Disconnect & re-auth — Disconnects this property and opens Cloudbeds so you can authorize again. Use it when the connection stops working.
4. Verify
Open Guests (under Operations in the sidebar). That is where Cloudbeds reservations show in HiLucy, and today's arrivals also appear on Arrivals. You should see your Cloudbeds reservations with:
- Guest names and contact information
- Dates and room assignments
- Reservation status
Dual-Write System
"Dual-write" is about HiLucy's own storage, not about Cloudbeds. When HiLucy reads a reservation from Cloudbeds, it saves it in two places inside HiLucy:
- Reservations are written to both HiLucy's legacy sync table and its new normalized tables
- This ensures backward compatibility while enabling new features
- The system handles conflicts automatically
- Nothing is written back to Cloudbeds. If you edit a Cloudbeds reservation's room or price in HiLucy, the next sync can overwrite it, so make lasting changes in Cloudbeds
Monitoring
The sync runs every 15 minutes via WordPress cron, and it's incremental: each run only pulls the reservations that changed since the last run, so most ticks are fast and touch just a handful of records. A periodic full sweep runs as a safety net to catch anything the incremental window might miss. The sync only logs when there are changes (synced > 0, updated > 0, or errors > 0), keeping your debug log clean.
Troubleshooting
Reservations not syncing?
- Open the Cloudbeds page and click Test connection
- Check that the API key and Property ID are correct
- Check the Sync activity card for errors, then try Force sync
- If the connection still fails, use Disconnect & re-auth
Missing guest contact info?
Some OTA bookings (e.g., Booking.com) don't share guest email/phone. These guests will sync without contact info until they provide it directly.
