Manual Rental Entry Overview

The + New Rental button in the Rental Manager hero opens the Manual Rental modal — a single dialog for creating a complete booking when the guest doesn't go through the website (walk-ins, phone calls, social DMs).

When to use it

  • Walk-in: guest arrives at the shop and wants something now
  • Phone-in: guest calls and wants to reserve a future date
  • Channel-shift: a booking arrived through Instagram / WhatsApp and you want it in the system
  • Recovery: the public rental finder failed (rare, but it happens) and you need to manually reconstruct the booking

What the modal handles

In one dialog you set:

  • Selection mode — single product or category (auto-assign first available unit)
  • Dates — start / end date and time
  • Quantity — units (1..stock)
  • Customer — search existing or create new
  • Pricing — auto-calculated from rate × days × qty, with manual override; tier discounts and date adjustments apply automatically
  • Payment — method (cash / card / payment-link / bank), currency (USD / MXN with FX), status
  • Deposit — auto-set from product default, override allowed; collection method
  • Delivery — pickup or delivery, address override, lat/lng zone check
  • Add-ons — per-product checkboxes with quantity multiplier
  • Internal notes — for the team only, not sent to the guest

Result

On save, the modal returns the booking ID. If the payment method was Payment link, the modal also shows the copy-able Stripe URL. Otherwise the booking is immediately visible in the Rentals tab.

Tip — single-product vs category

  • Single product mode: pick one specific product (e.g. "Honda Wave 110"). You assign a unit later via Assign Identifier.
  • Category mode: pick a parent category (e.g. "Scooters"). The modal auto-assigns the first available unit. Useful when the guest is non-specific ("just give me any scooter for 3 days").
