Payout Ledger and Commissions

The payout ledger is the canonical record of money flowing to and from your account. Every commission earned, refund deducted, and withdrawal taken lands here as an immutable entry.

What's in the ledger

Each entry has:

  • Date — when the entry was created
  • Type — Commission / Refund / Adjustment / Withdrawal
  • Source — the underlying booking or transaction (linkable)
  • Amount — credit (+) or debit (-)
  • Currency — USD / MXN / etc.
  • Status — Pending / Approved / Paid / Voided
  • Notes — free text, especially for manual adjustments

Filter the ledger

Top-of-page filters:

  • Date range — from / to
  • Status — show only Pending, only Paid, etc.
  • Type — Commission / Refund / etc.

The total at the bottom updates with your filter — useful for reconciling a specific period against external records.

Status lifecycle

Pending → Approved → Paid
         ↓
       Voided (rare; only for cancellation reversal)
  • Pending — entry created but not yet approved (e.g. waiting on Cloudbeds reconciliation)
  • Approved — admin has signed off; ready to pay out
  • Paid — the actual transfer (Stripe / bank) has settled
  • Voided — entry reversed (e.g. cancelled booking refund)

Balance

A live count of: sum of credits − sum of debits, scoped to your active vendor. The Partners tab shows this prominently. When you're ready to withdraw, the dashboard initiates a Stripe Connect payout (or bank transfer if configured) for any Approved balance.

Manual adjustments

Sometimes the ledger needs an entry that isn't tied to a booking — e.g. correcting an off-platform refund, recording a marketing rebate, or settling a damage dispute outside Stripe.

  1. Click + Manual adjustment.
  2. Pick credit or debit, amount, currency.
  3. Add a note (required for adjustments — explain why so future you / auditor understands).
  4. Save. The entry lands in Pending until an admin approves.

Commission rules (admin only)

If you have manage_options, you can edit the rules that generate Commission entries from bookings.

  1. Partners tab → Commission Rules (admin sub-tab).
  2. + New rule.
  3. Pick rule type (Platform fee, Affiliate, Vendor, Channel partner, Other).
  4. Optionally scope: by listing, by product type, by date range.
  5. Pick the calculation: percentage of booking total, flat amount, or a tiered schedule (different % for different total ranges).
  6. Save. The rule applies to new bookings going forward; historical bookings keep their original commissions.

⚠️ Never edit historical commission entries. Always use a manual adjustment to reverse and re-post — this preserves the audit trail.
